A grid showing which staff hold which skills and at what level, used to spot gaps in a finance team.

What it usually contains

  • Employee names or roles down one side and skills, systems and regulations across the top
  • Rating scale such as none, learning, competent, expert or able to train others
  • Required minimum level for each role
  • Licences, certifications and renewal dates
  • Highlighted gaps, single points of failure and planned training

What the assistant uses it for

Answer questions about who is qualified to perform a task, where cover is thin, and what training or certification a person still needs.

How it is versioned

A document of this type has exactly one current version at a time. Upload a revision and it becomes the version that counts — the one before it is kept and dated, but is no longer what your assistant answers from. Nothing is ever deleted, so you can always show what this document said on a given date.
