Catering contracts

A signed agreement between a venue or caterer and a client setting the terms for food and beverage service at a specific event.

What it usually contains

  • Event date, times, location, and guest count with a final headcount deadline
  • Agreed menu, beverage packages, and service style with per-person or per-item pricing
  • Deposit schedule, payment due dates, service charge, gratuity, and tax
  • Cancellation, postponement, and weather or force majeure terms
  • Staffing, rentals, setup and breakdown, and liability or insurance requirements

What the assistant uses it for

Answer questions about what a client owes and when, how many guests must be confirmed and by what date, and what happens if the event is cancelled or changed. Also useful for checking what is included in the quoted price versus billed separately.

How it is versioned

A document of this type has exactly one current version at a time. Upload a revision and it becomes the version that counts — the one before it is kept and dated, but is no longer what your assistant answers from. Nothing is ever deleted, so you can always show what this document said on a given date.
