Vendor coordination guides

A guide setting out how outside vendors work with a venue's events team, covering access, timing, and rules on site.

What it usually contains

  • Setup and breakdown rules, including protection of floors, walls, and furnishings
  • Required paperwork such as insurance certificates, permits, and licenses

  • Power, rigging, kitchen access, and noise or curfew restrictions

What the assistant uses it for

Answer questions about what a florist, band, photographer, or outside caterer is allowed to do at a venue and when they can arrive. Use it to check vendor requirements, site restrictions, and who to contact during an event.

How it is versioned

A document of this type has exactly one current version at a time. Upload a revision and it becomes the version that counts — the one before it is kept and dated, but is no longer what your assistant answers from. Nothing is ever deleted, so you can always show what this document said on a given date.
